CANCELLATION, REFUND, & TRANSFER POLICY

Thank you for your interest in registering for our race events. We strive to provide an excellent experience for all participants, but we understand that unforeseen circumstances may arise.

Please read the following Cancellation and Refund Policy carefully to ensure you fully understand your rights and obligations upon registering for one of our events.

A. No Refunds for Non-Participation

Once your registration for an event is processed, all registration fees are non-refundable. This includes, but is not limited to, situations where:

You are unable to attend the event due to personal reasons such as illness, injury, family emergencies, or any other circumstance.
You decide to withdraw from the event for any reason, including travel difficulties or scheduling conflicts.

We strongly encourage you to consider purchasing event insurance at the time of registration to protect your investment in case you are unable to participate.

B. Event Cancellation or Postponement

In the event that the race is canceled or postponed due to reasons outside our control, including, but not limited to, weather conditions, Acts of God (such as natural disasters, severe weather, or emergencies), government regulations, civil unrest, public health emergencies, or other unforeseen circumstances, no refunds will be issued. These types of situations are considered "Force Majeure" events.

Participant Responsibility for Safety: If the event is still held despite challenging circumstances (e.g., adverse weather, emergency conditions), it is the sole responsibility of each participant to assess their own safety and well-being before choosing to participate. Participants are encouraged to make their own determination regarding whether they should participate in the race based on the conditions at that time. By registering for the event, you acknowledge that your participation is at your own risk, and no refunds or deferrals will be issued if you decide not to participate based on safety concerns.

C. Deferrals

While we do not offer refunds for any reason other than the exception outlined below, we do allow participants the option to defer their registration to the following year, subject to the following terms:

1. Deferral Deadline: Deferrals must be requested no later than 14 days prior to the scheduled event date. No deferrals will be accepted after this period.
2. Deferral Conditions: Deferrals are only available for one year. After that, your registration will be forfeited, and no further deferral options will be granted.

D. Active Military Duty Exception

In the event that you are unable to participate due to active military orders, you may submit appropriate documentation (e.g., deployment orders) to receive a refund of your registration fee, minus a processing fee.

E. Event Transfers

Race entries are non-transferable between individuals, events, or years. However, in certain circumstances, participants may transfer their registration to a different race distance within the same event, provided the transfer is requested no later than 5 days before the scheduled race date.

If you wish to switch to a longer distance, you will be required to pay the difference in entry fees between the original and new distance.
No refunds will be provided if you transfer to a shorter distance.
All transfers are subject to availability, and the new registration must occur within the same calendar year as the original event.

Transfers are not permitted to other events or years. By registering, you acknowledge that you are bound by these transfer conditions.

F. Additional Terms

1. Race Material and Merchandise: Any race materials, such as shirts or bibs, are provided only to participants who attend the event. These items are not available for shipping after the event, nor can they be refunded.

‍2. Event Changes: We reserve the right to alter race details, including the course, race schedule, and amenities, at any time. Changes will be communicated to registered participants, but no refunds will be offered for changes in the event format.

3. Policy Updates: We reserve the right to amend this cancellation and refund policy at any time. Any changes to the policy will be communicated via email and posted on our official website.

By registering with Magic Sports, you agree to this Cancellation and Refund Policy in its entirety. If you have any questions regarding the policy, please feel free to contact us prior to registering.

This policy reflects the industry's common practices and ensures we are able to continue providing quality events while balancing the needs of all participants.

We are passionate about putting on races and are driven to produce athlete-centered, high-quality events that challenge the beginner to the experienced athlete.  Our commitment to each of you, our volunteers, and our host cities is to produce first-class events that are sanctioned by USAT or certified by USATF and managed by highly-qualified, experienced, and certified race directors and knowledgeable staff.

The expense of planning, coordinating with our host cities and vendors, permitting, purchasing t-shirts, medals, awards, other race supplies, and salaries happens months in advance of your race.  We also understand that you invest a significant amount of your time, money, and effort preparing for a race.  If we need to make a difficult decision or are mandated to cancel a race, please know that we share in your disappointment.  The last thing we ever want to do is cancel a race and we appreciate your respect and understanding of our policies.
